Who we are

ClearBooks Accounting Consultants FZ-LLC (trading as "ClearBooks") is the data controller for the purposes of this notice. Our registered office is Boulevard Plaza Tower 1, 19th Floor, Downtown Dubai, United Arab Emirates. Our data protection contact is privacy@clearbooks.ae.

What data we collect

As part of our accounting, audit, and tax engagements we process: your name, business contact details, TRN, trade licence information, financial records, bank details, payroll records (where engaged for payroll), and any supporting documentation you provide. For prospective clients we process only the information you send via our enquiry form.

Why we process it

• To provide the engaged accounting, audit, tax, or advisory services (contract basis).
• To meet our own regulatory obligations, including AML/CFT compliance, VAT, and corporate tax filings (legal obligation basis).
• To respond to business enquiries (legitimate interest basis).

Your rights under UAE PDPL

Under Federal Decree-Law No. 45 of 2021 you have the right to request access, correction, or deletion of your personal data, and to object to certain processing. Contact privacy@clearbooks.ae. We respond within 30 calendar days.

Retention

We retain engagement records for seven years after the end of the engagement, in line with UAE commercial and tax record-keeping requirements.

Third parties

We use cloud accounting platforms (Xero, QuickBooks Online, Zoho Books), Microsoft 365 for email and collaboration, and Google Cloud for the AI invoice-processing pipeline. Each is a sub-processor with a signed data processing agreement in place.

Complaints

If you believe we have mishandled your data, please email us first and we will investigate within 14 days. You may also contact the UAE Data Office if not satisfied with our response.
